A Register is effectively a spreadsheet that can be managed on SiteAssist. Depending on your permissions, you may view, edit or add items to a Register.
Currently, Registers are only available on the SiteAssist web application and are not accessible on the mobile or tablet app.
Registers on SiteAssist
We will need to first digitise any Registers as templates before they are accessible.
For example, you may have a Temporary Works Register as a spreadsheet that you may want on SiteAssist. You would need to send us this spreadsheet for us to digitise this onto the system (which would mean all of the spreadsheet columns and their criteria have been digitised as a Register onto SiteAssist)
Once digitised by us, Registers can be created in 2 places:
At a Project Level - This information is only relevant to that project and can only be accessed by people who have been invited to that project
At an Organisational level - This information is for the entire company and anyone can view the information on an organisation Register
Of course, not everyone can add or edit the information available on a register, as you will need permission to do so.
If you would like a Register digitised or if you would need to be able to manage the information on an existing register, please contact us at help@siteassist.co. Keep in mind, depending on your role, we may need confirmation from your company beforehand.
How to find Registers at an Organisation Level
You can access a Register at an Org level by following the steps detailed below:
1a. Once logged in, click 'Registers'
1b. On the Registers page, you can then select the Register you wish to view.
Once you have clicked a Register, you will be able to view, edit and add to the information on this page (depending on your permissions).
Remember, the information for this Register is Company-wide.

How to find Registers at a Project Level
To find a register at a project level, you will need to first log in and then:
1a. Click 'Projects'
1b. Once on the Project page, select your project
2a. Once you have selected your project, click 'Registers'
2b. Once on the registers page, click the register you wish to view
Once you have clicked a Register, you will be able to view, edit and add to the information on this page (depending on your permissions).
Remember, the information for this Register is only for project you have selected.

How to view a Register
Once you have selected a Register, you will be able to view all of the information for your selected Register. Below is an image that shows a Register:
There are some viewing options that are available for a Register. These actions are shown and detailed below:
Search bar: This is where you can search for a specific item in the register
Views: This is where you can select the different available views, which hide and show certain specific columns.*
Quick Filters: This is where you can select a quick filter. Quick filters allow you to quickly view filters that have been set up for this Register (For example, if a field has a drop-down option for 'Yes', 'No' or 'Maybe' a quick filter can be set up to allow you to see all of the items that have 'Yes' as their answer)*
Filters: This is where you can apply any filters.
You can also specify how many items you wish to see per page and can switch between those pages by clicking the buttons at the bottom of the page (shown below)
How to Perform Actions on a Register
You can also perform actions on a Register. Below is an image of the same Register shown in the above section:
The actions that are available to you are dependent on your permissions but below shows and details all of the available actions:
Edit Register - This allows you to change the name of the Register
Archive - This allows you to archive the Register
Add Item - This allows you to add a new item to the Register. When you are adding a new Item to a Register, you will see all of the fields that you can provide for that item. Different fields have different properties, so some may be mandatory and some fields can even affect other fields (which is dictated by how the Register template has been set up based on the originally provided spreadsheet)
Download - This allows you to export the Register as a CSV
Import via CSV - This allows you to import the information on a CSV into this register
CSV Import Tutorial - This details the format a CSV needs to be in, for it to be imported onto this Register successfully
Settings - This is where you can find the settings available for this register. Here you can specify which groups can perform which actions on a Register and can set up triggers (an example of a trigger would be an email being sent each time a new item is added to the register)
Note: This just shows all of the actions that are available. If an action is not available to you, it is likely due to you not having the correct permission. If you wish to have your permission changed, you can reach out to us via live chat or via help@siteassist.co, but we will need confirmation from the relevant person(s) before we can change your permissions.
How to update and view an existing Register item
If you have the correct permission, you can also update an existing Register item. Below is an image of the same Register shown in the above section. You may have noticed that there are 3-dots next to each register item:
If you click the 3 dots next to an existing register item, you can either:
Update Item - this will allow you to change the selected item's fields. Below is a screenshot of this page.
1a. This allows you to switch between the editable properties and the properties that are calculated by a formula automatically (you can also see the properties which are calculated by a formula in a blue box at the bottom)
1b. This shows you the current type of property you have selected (so if you selected 'Calculated by formula' in '1a.' this would show the properties calculated by a formula). If you have the normal properties selected, you can update them here
1c. Once you have updated any properties, you can either click 'Submit' to confirm your changes or 'Cancel' to cancel them
Open item in new tab - this will allow you to view the timeline for this selected register item. Below is an image that shows the information available when you Open an item in a new tab:
Timeline - here you can see a timeline for this register entry. This shows you who has created or changed this entry, when they changed it and what to.
Properties - here you can see the properties for the selected entry.
There are also actions available for a timeline entry. At the moment, you can only update the item you have selected from the actions menu.
Managing Register access and permissions
If you have permission to specify who can perform which actions on a register, you can contact us so we can change who can access this register (or can edit an existing user's permissions) or you can follow the steps detailed in our Auth Groups article.
