Annotating a PDF

This article outlines how a PDF can be annotated on the web app

You can annotate a PDF document that is attached to a permit question on the Web platform. 📝


How to annotate a PDF on the mobile/tablet app

To annotate a PDF on the mobile/ tablet app, you must first log into your account on the SiteAssist mobile/ tablet application and then:

1a. Tap the '+' button

1b. Tap 'New Permit' or 'New Checklist' (in this example, we will be creating a new permit)

Note: It is also possible to annotate a PDF on a Permit/ Checklist draft

2a. Input the Permits information

2b. Tap 'Continue'

3a. Find a question that allows a PDF upload and tap it

3b. Select 'Upload Document' (This step is sometimes optional as you cannot add a PDF to all questions that allow uploads. Some questions will require only a live image or a PDF)

4. Once the PDF has been uploaded, tap it to open it in full screen

5. You will notice that there are a few icons at the top of the page. Tap the 'pencil' icon to see the annotation options

6. The annotation bar will appear, letting you annotate your PDF.

Note: If you click the 6 dots (shown in the image on the right below) you will be able to drag the bar to either side of the PDF. By default, the bar may be at the top of your screen. Dragging it to the left or the right will show you all of the available annotation options.

We will now be going through each of the available options.


Leaving a Hidden Note on your PDF

7. Tapping this option will allow you to leave a note on your PDF. The note will not show on the PDF, instead, an icon will show. Once that icon is tapped/ clicked, the note left will then show

  • 7a. You will first need to tap where you wish to leave this not on your PDF (not shown in the below image)

  • 7b. You will need to input the text for the note

  • 7c. You can tap here to customise the notes' icon

  • 7d. Once you have tapped 7c, you can then choose the icon you wish to leave

  • 7e. Once you have tapped 7c, you can then select the colour you wish the icon to be

  • 7f. Once you are finished, you can tap the 'X' to save your note

  • 7g. If you wish to delete your note, tap the bin icon


Leaving text or a callout on your PDF

8. Tapping this option will allow you to leave some text or a callout on your PDF. To select whether you wish to leave some Text or a Callout, you will need to tap-hold this option.

  • 8a. Tap here to select Text

  • 8b. Tap here to select a Callout

  • 8c. Tap on your PDF where you would like to leave your text/ callout

  • 8d. Once you have tapped where you wish to leave your text/ callout, you will then be able to begin typing.

  • 8e. Tapping the bar above your keyboard (where the arrow is pointing in the below image) or the coloured circle on the annotation bar will show you some text options. Here you can customise:

    • The font

    • The size of the text; and

    • The style of the font (Colour, opacity, etc.)


Drawing on your PDF

9. Tap and hold this icon to select if you wish to Draw or use Magic Ink

  • 9a. Drawing will allow you to simply use your finger to free draw on your PDF

  • 9b. Magic Ink will allow you to freely draw a circle or square on your PDF. Once drawn these shapes will then appear perfectly.

  • 9c. Tapping here will allow you to edit the style of the selected 'Drawing' or 'Magic Ink' option.


Highlighting an area on your PDF and erasing drawn elements

10. You can tap here to select the highlight option. Once selected you can then tap on the PDF to highlight the tapped area

  • 10a. Tap here once the highlight option is selected to change the style of your highlight

11. You can tap here to erase anything drawn on your PDF

  • 11a. Tap here once the erase option is selected to change the style of your eraser.


Drawing a Line

12. Tap and hold this icon to select if you wish to leave a Polyline, Line or an Arrow

  • 12a. Tapping here will allow you to select a Polyline

  • 12b. Tapping here will allow you to select a Line

  • 12c. Tapping here will allow you to select an Arrow

  • 12d. Tap here to change the style of the type of line you have selected


Drawing a Shape

13. Tap and hold this icon to select if you wish to leave a Cloud, Polygon, Ellipse or a Rectangle

  • 13a. Tapping here will allow you to select a Cloud shape

  • 13b. Tapping here will allow you to select a Polygon

  • 13c. Tapping here will allow you to select an Ellipse

  • 13d. Tapping here will allow you to select a Rectangle

  • 13e. Tap here to change the style of the type of shape you have selected


Adding a Sound, Link, Stamp or Image

14. Tap and hold this icon to select if you wish to leave a Sound, Link, Stamp or an image

  • 14a. Tapping here will allow you to select the Sound option. You can then tap anywhere on the PDF to identify where you wish to leave an icon for this sound and you can then record the sound you wish to leave.

  • 14b. Tapping here will allow you to select a Stamp. You can then choose the Stamp you wish to leave, or you can create your own.

  • 14c. Tapping here will allow you to select or take an image on your device that you wish to add to the PDF.


Undoing or Redoing an Action and Saving your annotations

15. When you have annotated your PDF, you will be able to undo or redo any actions that were taken by tapping these icons (the top icon for undo and the bottom icon for redo)

16. Tapping here will allow you to hide the annotation bar

17. Tapping here will allow you to save the annotations you have done to your PDF and return to your permit.


How to annotate a PDF on the Web app

To annotate a PDF, you must first log into the SiteAssist web app and then:

1a. Click 'New'

1b. Click 'New Permit' to begin creating a new permit

2a. Fill in the permits 'Basic Information'

2b. Click 'Next'

3a. Fill in the permits questions as usual, until you come to a question that allows a PDF upload

3b. Click the 'Upload Proof' button and upload a PDF from your device to the question

3c. Once the PDF has been uploaded, click the PDF itself, to bring up the PDF annotation screen

4a. Click this button to view thumbnails of the pages for your PDF

4b. Click this button to zoom out from your PDF

4c. Click this button to zoom in to your PDF

4d. Click this button to fit your PDF to the size of your page

4e. Click this button to bring up the 'Drawing' and 'Eraser' options

4f. Click this button to add an image to your PDF

4g. Click this button to bring up the 'Text' options

4h. Click this button to draw shapes on your PDF

4i. Click this button to open the Document editor options

4j. Click this button to undo your last action

4k. Click this button to redo your last action
