What do the different permit status' mean?

This article outlines the meaning of each permit status, as well as detailing what actions can be performed in each permit status

A permits status indicates the stage that a permit is currently in and will determine the actions that can be performed on that permit.

The permit status will update depending on the actions that have been performed on the permit.

You can check the status of all live permits on your Project by looking at the Project Dashboard (shown below).

The six boxes that are shown on this screen are:

  • Awaiting Approval

  • Open

  • Extensions Requested

  • Expired

  • Post Permit Checks; and

  • Final Sign Off

Clicking any of the boxes shown on the Dashboard will show you all of the permits that are currently in that status.


So what do the different permit statuses mean?

Awaiting Approval

When a Permit Holder raises a permit, if the permit requires approval, the first status the permit will enter is the Awaiting Approval status. When a permit is in this status, the permit holder cannot perform any actions on the permit (other than downloading the permit as a PDF) until the permit has been approved by an authorised person.

Sent to Permit Holder

Certain Permits can only be raised by specific people on a Project. There permits need to be issued (or Sent) to a Permit Holder before they can be Open. These permits will be in the 'Sent to Permit Holder' status when they have been sent to the Permit Holder, but have not been accepted by the Permit Holder

PreStart

This status is for permits that have been Approved and are set to open at a later date or time; and/ or for permits that require tasks to be done on them before they can be opened.

Open

When a permit has been approved, it is sent back to the Permit Holder and will now update to the “Open” status. At this point, the work on the permit can commence, and more Permit Actions become available such as:

  • Adding Participants for briefings;

  • Performing Periodic Checks;

  • Requesting Transfers;

  • Requesting Extensions; and

  • Closing the permit

Extension Requested

When a Permit Holder requests for an extension on a permit, it will enter the “Extensions Requested” status. The permit will remain in this status until the extension is approved, or until the permit is Closed, Expired or Cancelled.

Suspended

When a Permit Holder/ Approver or Author needs the work associated with a permit to stop temporarily, they can suspend the permit. When a permit is suspended, a reason must be provided (a picture or document can also be provided, but they are optional).This will "pause" the permit until it can be Unsuspended. A Permit Holder or Author can request for a permit to be Unsuspended, but only a person with permission to Unsuspend a permit can resume it.

Expired

When a permit has reached its end date but the work has not been declared complete, the permit will enter the Expired status. An Expired permit can still be Closed or Cancelled, and the permit timeline will reflect that the permit reached its end date and time before being Closed or Cancelled.

Post Permit Checks

When a Hot Works permit is undergoing a Fire Watch, the permit will update to the "Awaiting Post-Permit Checks" status.

Awaiting Final Sign Off

Once the work for a permit has been declared complete and any relevant post permit checks have been performed, the permit status will update to “Awaiting Final Sign-off”. At this point, the Permit Holder can no longer perform any Permit Actions, other than generating a PDF of the permit.

Closed

When the work for a permit has been declared complete, any post permit checks have been performed and the Final Sign-Off has been performed, the permit status will now be Closed. This indicates that the works that this particular permit covered have now finished, and the permit is no longer in use.

Cancelled

When a permit needs to be terminated (e.g., due to situations arising that invalidate the permit, if the information provided is no longer accurate or if an emergency arises that would require the immediate termination of the permit), a permit may need to be Cancelled. A permit can be Cancelled at any stage prior to being properly Closed. Once a permit has been Cancelled, no further permit actions can be performed, other than generating a PDF of the permit.

Discarded

Permits can be discarded in 3 scenarios:

  1. When a permit is in the “Awaiting Approval” status and it reaches its End Date and Time before being approved, the permit will automatically update to the Discarded status and will no longer be valid.

  2. When a permit has been approved but its PreStart tasks (if any were required) were not done before it reaches its end date and time.

  3. When a permit has been suspended, but it has not been un-suspended before it reaches its end date and time.

Rejected

When a Permit Holder sends a Permit for Approval, if a Permit Approver or Project Admin deems that the permit can not be Approved (could be due to an emergency or that the specified work area cant be worked on etc.), they can Reject it. A PDF can still be generated for a Rejected permit but no further Permit Actions can be taken.
