A permit can be requested or issued at any time using the SiteAssist platform.
Depending on the permit type, you may not need to send the permit for approval, but in most cases, the permit will need to be approved before the work associated with the permit can be carried out.
Requesting a new permit on the Mobile app
To create a new permit on the mobile or tablet app, you must log into the SiteAssist mobile/ tablet app and then follow the steps below:
1. Tap the '+' button
2. Tap 'Create New Permit'
3a. Fill in the details of the permit (the Project, the Permit Type, the location, the start & end date & time and a summary of the permit)
3b. Tap 'Go To Questions'
4a. Answer all of the permits questions
4b. Once all of the questions have been answered click 'Submit' to go to the summary page
5a. This is the permits summary page and is the last point that you can edit a permit's information before it is sent for approval. You must scroll to the bottom to proceed.
5b. Once you are happy with the permits information, tap 'Submit'
If the permit type you are raising requires approval, you will then be asked if you wish to notify an approver.
6a. Tap the name of the person(s) you wish to notify or use the Search bar to input an approver's name (you will only see the user(s) who have the authorisation to approve the selected permit type)
6b. You can tap 'Notify All' to notify everyone who can approve this permit type
6c. If you have selected a specific person or persons from the list of names, you can tap 'Confirm' to notify only those people who have been selected.
Note: This only dictates who you notify but anyone who has the permission to approve the permit type you raised, can still approve your permit by finding it manually.
A notification will be:
- An email
- A push notification; and
- An in app/site notifcation
You will now see that the permit has been created. The permit's status (shown in the above image) at this point can be:
AWAITING APPROVAL - This will show if the permit type requires approval
PRESTART - This will show if the permit has been approved (or does not require approval) but the start date and time have not yet been reached, or there are outstanding tasks that must be completed before works can commence; or
OPEN - This will show if the works can commence.
Requesting a new permit on the web app
To create a new permit on the web app, you must log into SiteAssist web app and follow the below steps:
1a. Click the 'New' button
1b. Click 'New Permit'
2a. Fill in the details of the permit (the Project, the Permit Type, the location, the start & end date & time, and the summary)
2b. Click 'Next'
3a. Answer all of the permits questions
3b. Once all of the questions have been answered click 'Next' to go to the summary page
4a. This is the permits summary page and is the last point that you can edit a permits information before it is sent for approval. You must scroll to the bottom to confirm.
4b. Once you are happy with the permits information, tap 'Confirm'
You will then be asked if you wish to nominate an approver.
You will now be able to see that the permit has been created. The permits status at this point can be:
Awaiting Approval - This will show if the permit type requires approval
Issued - This will show if the permit has been approved (or does not require approval) but the start date and time have not yet been reached; or
Open - This will show if the permit has been approved and it is within its start date and time or if it does not need to be approved and is within its start date and time
Issuing a new permit
When you are creating a new permit, you may notice that for some permit types, an 'Assignment' box will appear. This will appear for permit types that need to be issued to Permit Holders.
You will need to have the Permit Approver or Project Admin role in order to raise issued permits. If you are a User, you will not be able to see these permit types when raising a permit.
To issue a permit on the mobile/ tablet app, you must log into SiteAssist and then follow the below steps:
1a. Click the 'New' button
1b. Click 'New Permit'
2a. Fill in the details of the permit (the Project, the Permit Type/ Template, the location, the start & end date & time, and, if you want, a summary of the permit) If you select a permit type that can be issued, the next step will allow you to assign the permit to someone on the project
2b. Click in the 'Assigned To' box to select who you would like to assign the permit to
2c. Click 'Next' to confirm your selection
You can now continue the permit creation process. When the permit is submitted, instead of going to the awaiting approval status, it will be issued to the user you assigned it to.
Note: You can also raise an issued permit on the mobile/ tablet app
