How can I export a list of all of the permits created for a Project?

This article outlines how you can download a spreadsheet that shows all of the information for the permits created for a project.

It is possible to export a spreadsheet showing all of the permits that have been created for a project. 📄


Downloading a permit report

To download a spreadsheet showing the permit details for a project you must:

1a. Click 'Projects'

1b. Click the project you wish to export the spreadsheet for

2a. Click 'Permits'.

On the permits page, specify the filters you wish to apply. The applied filters dictate the permits which are shown on your permit report

2b. Click 'Actions'

2c. Click 'Download'

3a. Once you have clicked Download [2c.] the platform will then begin generating the report. Only a maximum of 1,000 permits can be shown per report, so if you have more than 1,000 permits, the system will let you know and you will need to change your selected filters to narrow down your results.

3b. Once the generation has completed [shown in 3a.] you will need to click 'Download'

Once done, a CSV file will then download. CSV files can be opened with Microsoft Excel (Or the Numbers application if you have an Apple device).

The exported documents columns show:

  • Project Name - The name of the Project

  • Project Code - The Projects' Code

  • Permit Code - The Permits' Code

  • Permit Template Code - The code for the Permit Template

  • Status - The current status of the corresponding permit

  • Start Time - When the corresponding permit was opened (Date and time)

  • End time - When the corresponding permit was closed (Date and time)

  • Raised By - The user who raised the permit

  • Time Raised - The time the permit was raised

  • Permit Holder - The name of the permit holder

  • Approved By - The name of the user who approved the permit

  • Time Approved - When the permit was approved

  • Time Work Complete - The time the work was completed

  • Post Permit Checks Done By - The name of the user who did the post permit checks

  • Time Post Permit Checks - The time the post permit checks were done

  • Closed By - The name of the user who closed the permit

  • Time Closed - The time the permit was closed

  • Cancelled By - Who cancelled the permit

  • Time Cancelled - The time the permit was cancelled

Note: Some of the above columns will only populate if the action occurred, so not every column will show information.
