How do I add Locations to a Project?

By default, when a new project is made, the 'Location' field when a new permit or checklist is being created is an alphanumeric field.

It is possible to specify the locations that a Permit Author needs to select for their permits if required. This will require the Permit Author to select a location from several predefined options.

Locations can only be added by a Project Admin & only via the web platform. 📍

If you are a Project Admin and you wish to add a location to a project, you can do so by logging into the platform and then you must:

1a. Click the 'Projects' page

1b. Click the project that you wish to add a location to

1c. Click 'Settings' on the Project Overview screen to go to your selected projects settings.

2. On the projects setting page, click 'Site Locations'

3a. Click the 'Actions' button to bring up the actions that are available on this page

3b. Click the 'New Location' button to add a location

3c. Click 'Enable (Live)' to enable the locations specified on this page (you should not currently have any available if you are on a new project. If you disable this once it is enabled, the 'location' field will revert back to an alphanumeric one)

4a. Once you have clicked 'New Location' [3b. in the above image], you will need to type in the location you wish to add.

4b. Once a location has been typed in, click 'Create'

5. You will be able to see the location(s) you have created

5a. If you click here, you will be able to perform some actions for the corresponding location. These actions are:

6a. If you want to add a sub-location under a main location, you can do so by clicking the '+' button next to a location

6b. You will then need to type in the name of your zone/ sub-location

6c. Once you have typed in your location, click 'Create'

It is also possible to add zones to your sublocations by clicking the '+' button next to a sub-location

You could set up the locations for a project in the below way:

It is possible to enable some more advanced location features for your project. There are two advanced mapping features:

Geofencing: We can enable geofence mapping for your permits. This would require Permit Authors to draw an area on a map that would indicate the location of the works that are taking place for that permit.

Once a permit has been submitted, you will be able to see the geofenced location for that permit on a map.

The below screenshot shows a number of geofenced locations that have been drawn on a map [the blue polygonal areas]. Hovering over a polygon with your mouse will change the polygon from blue to orange and will show you the information for the permit raised in that area.

What3Words: We can enable location pins for your permits. This would require Permit Authors to find a location on the What3Words website or application which would indicate the location of the works that are taking place for that permit.

Unlike Geofencing, this is simply a pin that would appear on the map, as opposed to an area.

Once a permit has been submitted, you will be able to see a pin on a map for that permit.

The below screenshot shows how permits that have a What3Word location look on a map. Hovering over a pin with your mouse will change the colour of the pin to purple and will show you the information for the permit that corresponds to that pin.

3a. Select your Project and Permit type

3b. As locations have been set when you tap the location box, you will need to select the locations that have previously been defined

4a. Tap the location (in this example, I have tapped 'England')

4b. Tap one of the zones

You can now carry on with the permit requesting/ issuing process.

As mentioned above, when creating a permit on the web app, you will now have to select the locations defined by a Project Admin.

3a. Select your Project and Permit type

3b. As locations have been set when you tap the location box, you will need to select the locations that have previously been defined

4a. Select the location (in this example. I have selected 'England')

4b. Tap one of the zones (in this example, I have tapped 'Bristol')

You can now carry on with the permit requesting/ issuing process.
