How do I get my Project started?

Use this checklist to get started with SiteAssist in your project

Welcome to SiteAssist! 🥳

This article will take you through all the essential steps to get started using SiteAssist and will hopefully make your implementation of our app effortless!


1. Web app vs mobile app

🖥 : You can log in with your email and chosen password to the web application at app.siteassist.co

On the web application, you will be able to invite users, find all your permits, monitor permits using our live dashboard, approve requested permits, and more!


📱: You can download the mobile application via your devices application store - search for SiteAssist on Google Play Store (Android) or App Store (iOS).

scanning the correct QR code below will bring you to the Play Store or App Store.

On the mobile application, you can view all the permits in a project, filter them, as well as perform actions such as issuing, approving, and signing off permits. You can also set up push notifications to your mobile app enabling you to stay in control, even when you are out on site.


2. Invite users to your project 👷‍♀️👷

One of the first things you will need to do is to invite users to SiteAssist. This is super simple, and users can be added at any time during the project's lifetime.


1. Log in to the web application

2. Select your project

3. Click on the 'Team' button on the left-hand side of the project menu

4. Click on the 'Invite User to Project' button

5. Enter name, employer company, and email address

6. Set user role

Not sure what user role to select?

  • Project Admin: These users have full rights and access to all the data for a project on both the web platform and mobile app. A Project Admin could be a Site/Project Manager for example. Someone who is authorised to invite users (of any role), issue all types of permits, perform final sign-offs, etc.

  • User: Users are the most common role on SiteAssist. They can perform a number of actions but a Project Admin will need to specify which action each User can take. Most users will use the phone/ tablet application in order to request permits, receive issued permits, and to declare that the work is complete for a permit.

  • Project Viewer: This role is used for users who can view a project and its information but cannot perform any actions. It is solely used for viewing purposes

The users you invite will receive an automated email invitation. They have to click on the link in the email and set up their profile and download the app to their phone or tablet.

3. Define site location hierarchy (optional) 📍

If you would like to capture better location data for your permits or make it easier for the Permit Requester to enter the location of works, we recommend you use Site Locations.


Site Locations will allow you to create a custom location hierarchy for your site. Simply follow these steps to get started:

1. Log in to the web application

2. Select your project

3. Click on the 'Site Locations' button in the project menu on the left-hand side

4. Start adding locations and name them as needed

5. You are able to go three 'levels' deep for each location to specify locations further. For example: Building A -> Floor 4 -> Room 7

6. Turn on the toggle switch labelled 'Enable Site Location' to activate the locations in the mobile app
7. Remember to click the 'Save Locations' button

4. Create authorisation groups to dictate User permissions

If you have invited users who need to approve permits (in step 2) you will need to add them to an Authorisation Group in order to give them approval permissions. This will define their authority and will dictate which permit types he/she is authorised to issue, approve, sign off, etc.

Each Permit Approver needs to be part of a group. Follow these steps to Create a group:

1. Log in to the web application

2. Select your project

3. Click the 'Authorisation Groups' button

4. Click the 'Create Group' button

5. Select a name for the Group

6. Select what permits the members of this group are authorised to issue

7. Add Users and Project Admins to the group by clicking the 'Add members' button

5. Start using the app and keep track of the dashboard 📲 🖥

Many of our customers put up the live dashboard on a screen in the site office to always be able to keep track of live permits.
